CRYSTAL LAKE CHAMBER OF COMMERCE – ADMINISTRATIVE ASSISTANT
Reports To: President & CEO
Hours: 20 hours/week
Hourly Pay: $23 - $25/hour
Organized in 1940, the Crystal Lake Chamber of Commerce (the Chamber) is the oldest and largest Chamber of Commerce in McHenry County.
The Chamber is seeking an organized, versatile, and enthusiastic candidate for the position of Administrative Assistant. Reporting to the President & CEO, the Administrative Assistant is responsible for providing administrative and clerical services, record keeping, some event coordination, and general office support in order to ensure the effective and efficient operations of the Chamber.
JOB DESCRIPTION
The Administrative Assistant:
- Provides front line general reception duties for the Chamber, including answering phone inquiries, managing the schedule for the Boardroom, and managing the general email inbox.
- Provides scheduling and administrative support to the President & CEO including, but not limited to:
- Assembling and distributing agenda packets for the Board of Directors, Finance Committee, and Ambassadors
- Drafting meeting minutes
- Keeping meticulous records
- Provides general office administration, including:
- Ordering and maintaining office supplies and equipment
- Managing relationships with some outside vendors
- Maintaining and updating the Standard Operating Procedures manual
- Research and special projects as assigned
- Certifying documents for international shipping
- Other duties as assigned
QUALIFICATIONS & REQUIREMENTS:
The ideal candidate will:
- Prioritize and conduct work activities with limited supervision and demonstrate strong problem-solving skills.
- Will be expected to initiate daily, weekly, and monthly repetitive tasks accurately, promptly, and without reminder.
- Possess strong interpersonal and communication skills (written and verbal)
- Possess excellent organizational and time management skills
- Have 3 to 5 years of previous experience in an administrative role (nonprofit experience a plus)
- Be proficient in software and collaboration tools including Microsoft Office Suite
- Experience with CRM systems a plus
- Have the ability to work some flexible hours, including early morning meetings
